How Does the Check in System Work?

The check in system provides a simple way to track who attends events. When enabled, every registrant’s check in status can be seen when looking through registration records as well as in spreadsheet file reports.

How Do I Enable Check In?

By default, this feature is turned off. To enable it, go to the “Misc” tab while on the Registrations settings page. There are a few settings that control when check in is available for an event:

  • Enabling “Test Mode” will allow check in for all events at all times
  • By default, events allow check in 12 hours before the event start time until the event ends. Use the setting “When is Check In Available?” to change the offset.

How Does the Check in Process Work?

The plugin offers 3 main methods for checking attendees into events.

When check in is enabled, a column will appear that allows logged-in event admins to click a button to confirm attendance.

Create a Front-End Check In Page

If attendees need to be checked in live at an event, a check in page can be created that can be used by event managers to quickly find registrations based on searching or by entering an email address.

To create the check in page, add the following shortcode to a post, page, or text widget:

WordPress users with the capability “edit_others_rtec_check_ins” and site admins can log in and configure the tool for the particular event that is currently checking attendees in.

Allow Logged-In Users to Check Themselves In

If your site is a membership site, it might make sense to allow members (logged-in users) to check themselves in. This can be enabled using the “My Events” feature in addition to enabling the setting “Member Self Check In.”

Create a “My Events” page using the instructions found on the “Misc” tab. The “tools” feature will need to be enabled for the button to check in to appear underneath the event details.

Users must have a “confirmed” registration for the button to appear.

Check in Status and Attendance Reports

Information about whether or not a registrant “checked in” will appear in these features/locations:

  • On the “Registrations” tab, “Detailed” view for all events
  • Event specific .csv file exports
  • Spreadsheet reports created using the “Reports” feature
  • If members can check themselves in, on the “My Events” feature’s list of events
